Pressure washing schedule spreadsheet: a template and its limits

Updated October 26, 2026 · For pressure washing and soft wash crews

Most pressure washing and soft wash businesses schedule in a spreadsheet at some point. One tab per week, a row per job, columns for address, price and crew. It is free, flexible and easy to share.

The weak spots show up on the days that matter: a rain day that pushes six jobs, a crew lead who can’t edit the sheet from a phone, and a column of prices nobody marked paid. Here is a layout that survives a season, and when to use a route board instead.

Columns to keep

  • Day and route (or crew).
  • Stop order and a rough ETA.
  • Address and job type: driveway, house wash, roof, storefront.
  • Price and the customer’s email or phone.
  • Status: queued, on the way, done, weather hold.
  • Paid: the date, or blank.

Rules that keep the sheet usable

  1. Never delete a rained-out job; mark it weather hold so it is still there when you rebuild the week.
  2. Sort each day by stop order before the crew leaves.
  3. Fill in Paid the same day the money lands.
  4. Keep one version. Crews looking at a screenshot from Monday will drive to the wrong stop on Wednesday.

When the spreadsheet is fine

A one-truck operation where the owner does every job and gets paid on the spot can run on a sheet for years. Move when a second crew goes out, when weather reshuffles are eating your evenings, or when unpaid jobs are piling up between the job and the invoice.

Common questions

Does WashRounds optimize the route order?
No. You set the stop order and ETA yourself; WashRounds keeps the route, the status of each stop and the payments in one place.
Can I import my current schedule?
Yes. Export your sheet as CSV and import it from the stops list. Everything exports back to CSV too.
